2. Applicable Law
This policy is written in compliance with the Act on the Protection of Personal Information (個人情報の保護に関する法律, APPI), as amended by the 2022 revision effective April 2022, and its associated guidelines issued by the Personal Information Protection Commission (PPC) of Japan. Where we handle personal information of individuals located in the European Economic Area, we also consider the General Data Protection Regulation (GDPR) as a reference framework for good practice.
Under the APPI, personal information (個人情報) means information about a living individual that can identify a specific individual through name, date of birth, or other description. We treat all contact information submitted through this website as personal information under the APPI.
3. Information We Collect
We collect personal information only when you voluntarily provide it to us. The categories of information we may collect include:
Contact form submissions: When you use the contact form on this website, we collect your name, email address, telephone number, and the content of the message you submit. This information is transmitted via your email client to our inbox.
Direct email correspondence: If you contact us directly by email, we retain the content of that correspondence and the associated contact information.
Technical information: When you visit this website, standard web server logs may record your IP address, browser type, operating system, referring URL, and pages visited. This information is collected automatically and is not linked to any personally identifiable information unless required for security investigation purposes.
We do not collect sensitive personal information (要配慮個人情報) as defined under the APPI, and we do not request such information through this website.
4. Purpose of Collection
Personal information collected through this website is used exclusively for the following purposes, which are specified at the time of collection:
Responding to inquiries: Contact information and message content are used to respond to questions about our audit service, to arrange scoping conversations, and to communicate about potential or ongoing engagements.
Service delivery: Where an audit engagement proceeds, contact information is used to coordinate access arrangements, deliver findings documents, and schedule the walkthrough session.
Website improvement: Aggregated, non-identifiable technical information from server logs is used to understand how the website is used and to identify technical issues.
We do not use personal information for marketing purposes, profiling, automated decision-making, or any purpose other than those stated above. Under the APPI, we will not use personal information beyond the stated purposes without obtaining separate consent.
5. Legal Basis for Processing
Under the APPI, we are required to specify the purpose of use of personal information. The purposes specified in Section 4 above constitute our stated purposes. We collect and process personal information on the basis of the voluntary consent implied by your submission of the contact form, combined with the legitimate interest of responding to business inquiries. The privacy checkbox on the contact form records your acknowledgment of this policy prior to submission.
6. Data Retention
We retain personal information for the period necessary to fulfill the purpose for which it was collected. Specifically: inquiry correspondence that does not result in an engagement is retained for a period of twelve months from the date of last communication, after which it is deleted. Correspondence and documentation relating to completed audit engagements is retained for a period of three years from the completion of the engagement, to support any follow-up questions about findings. Technical server logs are retained for a period of ninety days and then deleted. After the applicable retention period, personal information is securely deleted or anonymized.
7. Third-Party Disclosure
We do not sell, rent, or trade personal information to third parties. We do not share personal information with third parties for marketing purposes. Personal information may be disclosed to third parties only in the following limited circumstances:
Service providers: We use third-party services for website hosting and email delivery. These providers may process personal information on our behalf as data processors. We select providers who maintain appropriate security standards and who process personal information only as directed by us.
Legal requirements: We may disclose personal information where required to do so by applicable law, court order, or request from a competent regulatory authority in Japan, including the Personal Information Protection Commission.
Under the APPI, we are required to obtain prior consent before providing personal information to third parties, except in the circumstances described above. We do not provide personal information to third parties beyond these circumstances.
8. International Transfers
Our primary operations are based in Japan. Where personal information is processed by third-party service providers whose infrastructure is located outside Japan, we take steps to ensure that such transfers are conducted in accordance with the APPI requirements for cross-border transfers, including confirming that the recipient country has an equivalent level of personal information protection or obtaining appropriate contractual protections.
